This article will cover the Contact features in the app.
All contacts in your OfficeTools database will appear in the app, including dependent and alternate contacts - along with their contact information. Not all contact information will be available on the mobile app. Data that you won't see on the app include Social Security number, custom fields and entity-specific information such as Entity Type, DOB, Profession, DOI, FYE, FEIN, State ID #, Employment #, Sales Tax, Last Invoice, and Tax Region.
Navigation, Searching and Adding a New Contact
Searching for a contact can be done with the magnifying glass in the upper right corner of your screen.
Pressing the Email icon for the contact will start a new email for you with the contacts' email address. If the email icon is light blue than an email address doesn't exist for the contact.
Pressing the Phone icon will allow you to choose what number you wish to dial. Once the call ends you will be prompted to create the call and enter your notes. If the call icon is dim, this means there are no phone numbers for this contact.
Use the Plus button at the bottom of the app to add a contact.
Soft Press for quick access to contact details
A soft press on the contact card will open the “Short” Contact card and provide the contacts address. The map icon will push the address information to a map for directions. Another soft press will close the contact card.
Tap the contact photo or image placeholder to open the contact.
When you tap the contact photo you will be able to access the details of the contact.
Along with viewing details of the contacts information, you also have access to their activities (calls, to-dos, and appointments), ability to create notes and view related contacts such as alternate and dependents.
Swipe left to view the additional contact information on the next carousel.
The mobile app is designed with a carousel theme so you are not scrolling endlessly for information but rather a quick swipe to view more.
Use the Pencil to edit the contact
At all times, you have the ability to Email, Call, Send a text and Create a time card while viewing the contact.
Contact Activity and Related Contacts
Once you have opened a contact, you have access to the contacts activity and items related to them. For example, you will be able to see all of their uncompleted To-Do's and Calls, regardless of who they are assigned to.
Stop using your sticky notes or my personal go-to, paper napkins, for note-taking! Use the app to track client-specific notes.
Related Contacts is where you will find any alternate or dependent contacts for the entity you are on. In this example, I have access to ABC's alternate contacts and their contact information. By pressing the call icon you will get a list of available phone numbers, and by pressing the Email button, it will begin an email for me.
