Deleting a Firm Member
You cannot delete users. If a user is no longer with the firm, you should designate them a Former Firm Member.
Designating a departed Firm Member as a Former Firm Member
In order to maintain record history when a Firm Member leaves the firm, but ensure that their name is no longer available for assignments, you can change their Access Class from "Active Firm Member" to "Former Firm Member".
1. From User Management, remove the Firm Member‘s Amicus license. (It’s recommended that you do this as soon as they depart, for security reasons.) This automatically removes their Amicus Anywhere/TimeTracker login access as well.
2. Open the Firm Members profile you wish to make a former firm member. Click on Admin. Change the "Access Classification" from Firm Member to Former Firm Member.
TIP: You will get a warning if the user has unposted time or is Responsible Lawyer for any files, follow the below steps:
3. Post or delete any unposted Time Entries on which the Firm Member is the Timekeeper.
TIP: Use the "Open Another Office" feature and access that users office that way.
4. Select the Former Firm Members office you wish to open. If you do not see the firm member in the list, open User Management. Open the profile of the former firm member and click on "Office Access". Under Guest Access, choose the option to "Allow ALL Firm Members to Access my Office: Guest Assistants"
5. Click OK and on the previous screen click "Save".
6. Go back to "Open another office" and you should now e the Former Firm Member's name in the list.
7. Once the office is open, go to the Time Sheets module and post or delete all the time entries for that user.
TIP: You will need to click on the drop down and check all the unposted time.
8. Once the time entries have been posted or Deleted, you can return to your own office.
9. On any Files for which the Firm Member is the Responsible Lawyer, make someone else the Responsible Lawyer.
10. Open the files Module. Select the Responsible Lawyers option and choose the former firm member.
11. The files that the user is a responsible lawyer for will be shown. You will need to go into each file and change the Responsible Lawyer. Open the file, go down to Admin -> General and change the Responsible Lawyer there.
12. Once all that has been completed, go back to the users Administration Profile, and change their Access Class from “Active Firm Member” to “Former Firm Member”. This automatically clears their Librarian and Administrator designations. They are still assigned to items in Amicus Attorney by CARET, but will no longer appear in Select Firm Member lists and are removed from Firm Member Groups.
