AbacusLaw by CARET lets you automatically assign matter-related WHO codes to events generated by a rule.
This is a useful feature for firms with different employees responsible for different tasks for a matter. Attorneys, paralegals, office administrators, or even interns might work on the varied tasks to complete a matter.
For example, the Closing rule has four events and each rule event can be assigned to a different type of employee, like this:
By assigning matter-related WHO codes to rules, events created by a rule will be automatically assigned to the responsible employee at the time of rule event creation. This prevents users from having to assign each rule event to an employee individually.
Follow these steps to assign matter-related WHO codes to rule events.

Part 1: Add WHO Code Fields to the Matters Database
For each type of employee you want to assign to a rule event, you need to have an accompanying WHO code field created in the Matters database.
- Select File > Setup > Database structures.
- The Data Structure window appears. Set Database to Edit to Matters and click Add.
- The Add Field to Database window appears. Complete the settings for the new WHO code field and click Done.
- The Pending Changes Exist window appears. Click Execute changes and create new databases.
- Repeat these steps to add WHO code fields for each type of employee you want to assign to a rule event (for example, INTERN and OFFICE ADMIN).
Part 2: Add WHO Code Fields to the Matter Screen(s)
- Select File > Setup > User-defined Screens > Matter.
- The Screens window appears. Highlight the matter screen to which you want to add the new WHO code fields and click Edit.
- Right-click a blank area on the screen and click Add Field.
- The Fields window appears. Highlight the WHO code field and click Done.
- The Field Properties window appears. Enter the following settings and click Done.
- Add other WHO code fields to the matter screen as needed.
- Position/align the field on the matter screen as needed and click Done.
- Repeat these steps for each matter screen to which you want to add WHO code fields.
Part 3: Edit the Rule Events to Use Matter-related WHO Code Fields
- Select File > Setup > Rules.
- The Rules window appears. Highlight the rule you want to change and click Edit.
- The Rule Name Event window appears. Highlight the rule event and click Edit.
- The Event in Rule window appears. Select the Event Details tab.
- Click the Who lookup button and select Matter Who Fields.
- The Alternate WHO Code Selection for Rules window appears. Highlight the matter-related WHO code field you want to assign to the rule event and click Done.
- Repeat these steps for each rule event to which you want to assign a matter-related WHO code field.
Part 4: Assign Employees to WHO Code Fields for the Matter(s)
Open the matter to which you will be generating events from a rule. Then, assign employees to the WHO code fields as needed.
Part 5: Generate Events from a Rule for the Matter
Generate events from a rule for the matter with the employees assigned.
Notice how the Who field is automatically populated for the rule events based on your assignments.
Notes
- When the linked matter does not have a WHO code selected for a field configured in the rule event, rule events are assigned to the WHO code selected for the main rule event.
- Any rule events not configured with a WHO code will be scheduled for the WHO code selected for the main rule event (usually the attorney for the matter).
- When a rule configured to use assigned WHO codes is calendared and there is NO linked matter, each rule event will prompt the user to select the appropriate WHO code.
