How to Void a Transaction
Transactions may not be voided after an acquirer has sent the transaction to settlement. Acquirer’s rules and schedules on what can or cannot be voided vary. If you are unable to void a transaction will need to refund it, see below for more details.
There are 2 ways to void a transaction.
1. To void a transaction go to the Billing tab and select the payments button. Then select the payment you wish to void and click edit.
2. In the edit payment window the Process APX Payment button will now show as Void Payment.
Please note: A receipt is sent to the client after the transaction is voided
Also Deleting an AXP payment in OfficeTools will also void the transaction
How to Refund a Transaction
If a transaction can no longer be voided you will need to refund it.
1. To refund a transaction go to the Billing tab and select the payments button. Then select the payment you wish to refund and click edit.
2. Select the Refund Payment button.
Please note: The client will receive a receipt via email
Editing an APX Payment
An APX Payment can be edited like other payments, however, the amount can not be changed. Other fields can be updated and the payment can be unapplied and reapplied to an invoice(s) like other payments.
APX Payments can only be deleted from the Billing Payment list if the transaction has been voided/refunded. If the transaction is voidable but has not yet been voided a message will appear indicating that deleting the payment will also void the transaction, otherwise a message will appear stating that the payment must be refunded before it can be deleted.
