There are really two ways to “refund” an overpayment in OfficeTools. You can either increase that client’s A/R balance to offset the overpayment amount through the use of the debit memo function. This way you can track the refund. Or you can simply delete the overpayment from OfficeTools. You can then perform the actual refund in your general ledger software to actually track it.
1. To create a Debit Memo, go to Billing> Payments> Click on the Plus sign> choose to Create New Debit Memo.
2. Enter the amount of overpayment.
3. Apply the Debit memo to the Payment.
