In order to send an E-Signature document to a client, you will first need the following items.
- A valid credit card entered on https://store.officetools.com/login/.
- A staff email setup in OfficeTools by CARET under Setup> Staff> Information for staff members that will send out E-Signatures.
- An email is listed under the email field on the contacts tab.
- For E-Signature documents going to two different recipients, please ensure that the other recipient:
- Is a dependent contact under the More Contacts button.
- Has an email listed under the email field under the More Contacts section.
- For E-Signature documents going to two different recipients, please ensure that the other recipient:
- A PDF document is listed under the Documents Tab for the client.
To send an E-Signature document follow the steps below.
- Navigate to the Documents Tab.
- Choose the document in question you would like to send and press the E-Signature button> Send selected document to be signed.
Please note: You can also send an E-Signature by right-clicking on the document and selecting 'Send selected document to be signed'
- From the window that populates navigate to the section of the document that requires a signature to be added and right-click on the section and select what type of field you will be entering.
- A box will populate with a drop-down that allows for you to select who the signature field is for, including the staff member sending out the E-Signature. You can also drag and drop and expand the field boxes that populate to their appropriate locations.
- Once you have inputted all fields necessary if you have not already set up all E-Signatures to use IRS compliance check in the 'Use IRS Compliance' checkmark at the top.
- After everything is filled out and you are ready to send the E-Signature to the client click the 'Send for Signature' button.
- If 'Use IRS Compliance' is checked in select which of the options you would like to use for verification.
- Select Yes on the window prompting if you would like to send the document for E-Signature.
- Select OK on the window stating the document has been uploaded for Signature.
