OfficeTools offers the ability to send out reminders for appointments to contacts via email or text messages. To set these items up follow the steps below.
- Navigate to Setup> My Company> Information and Settings> Schedule> Auto Reminders.
- Select the schedule event type from the drop-down for the schedule event type to send auto reminders to.
- Once the event type is selected check in which type of reminders contacts will receive. Settings can be set up to send 3 reminder emails at different time frames before the appointment, but only one text message can be configured to send out to contacts.
- Each email for the email reminder option is editable under the email templates located under Setup> My Company> Information and Settings> Email Templates.
- Text auto reminders have three options to select for the message contacts will receive, two are autoformatted, and the third is a custom text option for staff to edit. The preview of what contacts will receive is shown under the Sample section.
- After items are set up, the settings can be distributed in mass to other event types via the copy to button and adding the other event types to receive auto reminders to the right side.
- Each email for the email reminder option is editable under the email templates located under Setup> My Company> Information and Settings> Email Templates.
- Once the settings are configured auto-reminders will need to be enabled for contacts, this can be done in mass via the Contact Preferences button under the global settings,
or per contact on the contacts tab's gear button> Auto Reminder.
- After setup is complete, under the appointment the i bubble will show the auto reminder details and when they will be sent out.
- If instead of an i bubble you are seeing an orange ! this is due to the contact either not having a cell number inputted under the contacts tab cell field or an email not inputted under the contacts tab email field.

Please note: All auto reminders are sent out via our system and any replies to the auto reminders via contacts will not be delivered to staff members.
